
Something is missing. A card got formatted early, a folder went to the trash, a session came back short. Before you download anything or start searching for software, there is one action that decides how much you get back, and it is an action you take in the next sixty seconds. This is the order to work in, what actually helps, and when to stop and hand it to somebody with a clean room.
If the missing files were on a memory card, take the card out of the camera and put it somewhere you will not pick it up by accident. Do not shoot one more frame on it. Do not let the camera write a new folder to it. Do not format it, and do not accept any offer from your computer to repair or initialize it. If the files went missing on a computer drive, stop writing to that drive: no new downloads, no exports, no software installs, and ideally no more use of that machine until you have a plan.
Here is why that single step matters more than every tool in this article. On most cameras and computers, deleting a file does not scrub the photo off the card. It marks the space the photo occupies as available. The picture is usually still sitting there, intact, until something new gets written on top of it. Formatting in camera is generally the same story: it rebuilds the index rather than wiping every frame.
So the odds of a good recovery are set almost entirely by how much has been written to that card or drive since the loss. Every new shot, every download, every automatic update is a chance to land on top of the exact frames you want back. The single most useful thing you can do in the first minute is nothing at all.
Swap to a fresh card and keep shooting. The job continues. Put the affected card in a separate pocket, and label it later with tape so it never gets loaded back into a camera by mistake. Sorting this out at the venue, on a laptop, in a rush, is how a recoverable problem becomes a permanent one.
The word "deleted" covers about six different situations, and they do not have the same answer. Spend two minutes identifying yours before you touch anything, because several of these need no recovery software at all.

That Lightroom row catches experienced photographers regularly, because the dialog offers both options and the wording is easy to skim past at the end of a long evening. Removing from a catalog is a database change and your originals are untouched on disk. We go through that and the other traps in Lightroom culling mistakes.
A surprising share of these panics resolve in under ten minutes without a recovery tool. Work down this list in order, because each step is quicker and safer than the one after it.
Write down what you find at each step. If the shoot came back short, knowing exactly which frame numbers are missing tells you whether you are chasing five images or five hundred, and that changes every decision after it.
If the easy places came up empty, the card is next. Three rules make the difference between a good outcome and a wasted one.
Work through a card reader, not the camera. Cameras like to write housekeeping data when they are powered on. A plain reader does not.
Make an image of the card before you scan it, if you can. Most serious recovery tools can create a byte for byte disk image file, and both macOS and Linux can do it from the command line. You then run every recovery attempt against that image file and leave the physical card untouched. If a first attempt goes badly, you still have a pristine copy to try again from.
Recover to a different drive. Never write recovered files back onto the card you are recovering from. That is the one mistake that turns a partial recovery into no recovery.

There are paid recovery apps too, and some are good. Prices and packaging in that market change often enough that any figure quoted in an article is a liability, so judge them on one thing only: install the trial, let it scan, and confirm it previews the actual frames you are looking for before you pay for anything. If a tool wants to write to the source card, or will not tell you what it found before charging you, that is the wrong tool.
Software recovery assumes the hardware still works. Some situations are not software problems, and running more scans makes them worse:
In those cases, power it down and get quotes from two data recovery labs. Ask three questions before you send anything: what the evaluation costs, whether they work on a no data, no fee basis, and what happens to your client's images on their systems afterwards. Prices in that industry vary enormously by the type of failure, so treat any single quoted figure with suspicion, including one you read online.
The honest bit: a lab is expensive and the answer is sometimes still no. That is exactly why the fifteen minutes you spend on a copy routine at the end of a shoot is worth more than any recovery tool, and why our after the shoot ingest checklist insists on two verified copies before a card is ever reused.
Assume for a moment the worst case is real and part of a shoot cannot be recovered. The instinct is to wait, hope, and quietly hand over a thinner gallery. That instinct is wrong every time. Clients forgive an accident explained early far more readily than a gap they discover themselves months later.
Keep it short and factual. What happened, what you have already tried, what you do have, and what you propose. Do not narrate the technical detail, and do not promise a recovery that has not happened yet. If you can offer something concrete, offer it in the same message: a reshoot of the portrait set, a partial refund, an album credit, or reaching out to guests for phone photos of the moments you lost so the story is at least complete.
Check your paperwork before you write. A well drafted agreement already sets out limits of liability and what happens in the event of equipment or media failure, and knowing what you signed keeps a hard conversation from becoming a worse one. Then there is the last one, which is the reason a lot of people end up reading an article like this. A large share of accidental losses do not happen on a card at all. They happen during selection, at 1am, when someone is trying to get 3,000 frames down to a gallery and reaches for a keystroke that clears out the rejects. The frames were not lost to a hardware fault. They were lost to a workflow that treats "not chosen" and "not wanted" as the same thing.
They are not the same thing, and a process that separates them makes this entire article irrelevant to you. If your selection pass only marks which photos were picked, and every unpicked frame stays exactly where it was, then there is nothing to recover from, ever.
